A lookup adds the agent who owns the zip code before the lead is delivered. Example data.

Lead routing for brokerages often comes down to a coordinator forwarding emails. SyncYak Parse does it before the lead reaches anyone: each lead email is parsed, a lookup finds the matching row of your roster sheet by zip code, listing or source, and the agent’s name and phone are added to the lead before it goes to their sheet, a Zap or your system.

Keep the roster where your operations team already works: a Google Sheet they can edit any time.

How it works

Route portal leads in three steps

  1. Set up the intake inboxes

One inbox for the brokerage, or one per office or agent, on your own domain if you like.

  2. Share the roster sheet

Zip code, listing or source in one column, the agent and their details in the others.

  3. Add the lookup and destinations

Match the parsed field to the roster column and choose what each lead carries onwards.

Real estate lead routing without a coordinator

A lookup copies the columns you choose, such as agent_name and agent_phone, into the lead. If no row matches, you choose: deliver without them, or hold the lead until someone replays it.

  • Match by zip code, listing, email, phone or source
  • Hold unmatched leads or deliver them anyway
  • Edit the sheet; the next lead uses the change

Assign leads to agents where they work

Send each routed lead to a Zap that creates the contact in the agent’s CRM, to a shared sheet filtered by agent, or to your own platform through a signed webhook.

Use cases

Routing rules brokerages use

  • Territory

Zip codes to agents or offices.

  • Listing agent

Listing addresses to the agent who holds them.

  • Source

Campaign or portal to the team that pays for it.

What you get with Parse

Parse is the email parsing product of SyncYak. Every account gets an inbox on parse.syncyak.com the moment Parse is switched on, every email it receives is stored before it is parsed, and each parsed email can go to any number of destinations: a Google Sheet, a Zapier, Make or n8n hook, or your own webhook.

Free parses 100 emails a month in 2 inboxes. Hobby is $9 a month for 1,000 emails and 10 inboxes, with your own domain from Hobby and Google Sheets lookups from Hobby. Pro is $29 for 5,000 emails.

  • Ready-made templates for Zillow, Realtor.com, IDX registrations, CINC, BoomTown, Follow Up Boss, Velocify and paid social lead forms, plus a catch-all
  • Rules by label, regex, CSS selector or mailparser.io filter chain, tested against real messages
  • Signed deliveries (X-SyncYak-Signature), retried for about an hour on timeouts and server errors, and replayable
  • Sub-addresses (inbox+zillow@…) to tell sources apart, and mailparser.io’s form payload format when a receiver expects it

Frequently asked questions

Something else? Write to [email protected] and a person answers.

Can I do round robin?

Lookups match on a value in the lead. For rotation, route to a Zap or your system that decides who is next.

Which plan includes lookups?

Lookups start on a paid Parse plan; the pricing page shows how many each tier includes.

Can each agent have their own inbox?

Yes. Inboxes are per plan limit, with unlimited inboxes on Business.

Is there a free plan for Parse?

Yes. Parse has a free tier with no card and no end date: 100 emails a month, 2 inboxes, google sheets, zapier and webhooks. Paid tiers start at $9 a month, and you can move up or down at any time.

Can I use the other SyncYak products on the same account?

Yes. Email parsing, the mailbox API, CRM sync, error tracking and tunnels share one login, one team, one API key system and one bill. Each product has its own tier, so you only pay more for the one that grows.
